You can configure various settings for your organization
Click on
It may take a few minutes for the organizational setting to take effect. If you restrict user functions, reloading the client might be required before the user's option is hidden. Users will then receive an error message when they select the function that has just been deactivated.
Manual account creation
Press the switch to deactivate manual account creation. If this option is disabled, new accounts can only be created via an existing LDAP / Active Directory connection.
Self deletion of accounts
This setting allows you to control whether your organization's users can remove or delete their accounts independently from the organization. Deleted accounts can not be recovered.
Users can delete their own messages
You can specify whether users are allowed to delete their messages in chats themselves. Messages can be deleted permanently; deleted messages cannot be restored.
The deactivation can take a couple of minutes. Users who delete during deactivation can encounter the error message “Delete fail: You don't have the permission to delete this message”
Channel managers may delete messages from members
An administrator can configure their organization so that channel managers are allowed to delete messages from channel members in the channels they manage. This setting is disabled by default.
This is possible regardless of the general setting for deleting messages by the author.
After activating this setting, channel managers are allowed to delete messages from other users. The setting should be chosen deliberately and accompanied by instructions to the channel managers of the organization.
Notifications on account expiry
Users whose accounts have expiry date will be notified in the app and per mail before the expiry. Here you can set the time before the expiry when the user should be notified.
You can set up to three notifications. Click on the selection field to set the time. Here you can select from "1 day before expiry" to "14 days before expiry" on a daily basis.
Default language setting for newly created Accounts
This setting defines the default language for newly created Accounts. Furthermore, this is the language of the answers of the Chat Bot for video conferences. Choose between German and English.
Automatic start
The desktop client application can be executed directly at system startup. This setting enables automatic startup for all desktop applications in your organization (Desktop-client only). Press the switch for activation.
Confirm email address
After creating a user, the user receives a confirmation email to activate his user account. If this setting is enabled, the email address must be confirmed before the account can be used. Select "Deactivated", "Optional" or "Required".
Adjustable E-mail notifications when registering new devices
This setting allows you to choose whether or not users can configure if they want to receive email notifications when logging in new devices in their account settings. Press the switch for activation.
PIN protection for mobile devices
The app on mobile devices can be protected with a PIN before access by unauthorized third parties. If the PIN protection is specified (options "Required" or "Deactivated"), the user has no influence on this setting.
Choose between “Required”, “Optional, default activated”, “Optional, default deactivated” and “Deactivated”.
The app on mobile devices can ask the user to re-enter the PIN after a defined period of inactivity. The setting on the server cannot be exceeded on the end devices.
Choose in the section “Time interval until PIN re-entry” between “Never”, “30 seconds”, 1,2,3,4 or five minutes.
File import and export
Read the article Allow file import and export/Share links.
Notifications on the lockscreen
Clients can display notifications of new messages in the lock screen of the corresponding device. These notifications can be displayed by the user. If "Plain text, not adjustable" or "Protected, not adjustable" is selected, the option for the end user on its device is no longer adjustable. Any restrictions imposed by the operating system of the device still exist.
Choose between “Plain text, not adjustable”, “User configurable, default plain text”, “ User configurable, default protected” and “Protected, not adjustable”.
Manage active devices
The number of simultaneously active devices can be restricted. If a number is set and then another device is used, which would exceed the maximum number of active end devices, the longest unused device is automatically removed.
Choose in the section “Number of active devices” between unlimited, 1,2 or 3 active devices.
The number of end devices depends on your license model and therefore sometimes cannot be set to unlimited until you upgrade to a higher license model.
You can specify whether users are allowed to independently manage and disable signed-in devices in their account settings. Press the button in the section “Management of registered devices in the apps“.
Prohibit the creation of public and password-protected channels
The creation of new public or password-protected channels can be disabled for users. If this setting is disabled, only channels that require an invitation can be created. Read the articles Public channels and Password-protected channels to understand the differences, especially with regard to encryption.
Activate the switch in the "Create public channels" section.
Authorization to change login data
Users have the opportunity to change their login data. With this setting, the change of login data can be restricted. Activate the switches “Email-Address changeable” and “Account password changeable”.
Generate link previews in the chat
With this setting you can manage if link previews should be generated in the chat of the web and desktop client. Activate the switch “Generate link previews”.
GPS settings for mobile devices
On mobile devices, the current position of the user can be appended to a message. This option can be enabled or disabled by the user. If "Required" or "Deactivated" is selected, the option is no longer adjustable. A third-party service is used for the display of map material (see data protection declaration).
Please note that the "Deactivated" setting also prohibits the direct sending of locations as file attachments. The "Location" option is then hidden when selecting the file to be attached.
Choose between “Required”, “Optional, default activated”, “Optional, default deactivated” and “Deactivated”.
Do not display additional information about "Likes"
The administrator can set whether additional information (user name, date, and time) about "Likes" should be displayed. If this option is disabled, only the number of "Likes" is displayed without any further information about a message.
