Broadcast lists

You can create a broadcast list if the "Broadcast Lists" module has been activated in your organization by the administration and you have the appropriate permissions.

Please note that the use of broadcast lists depends on your licence model. As an administrator, please read the articles Activate additional tools (Calender, surveys, jitsi-videoconferences and more) and Edit and create user roles.

A broadcast list allows you to send a message to multiple individual conversations. The message appears in the normal conversation history of the members of the broadcast list. It is not apparent that the message comes from a broadcast list, but unlike other messages in conversations, the message is not end-to-end encrypted, which is visible in the message information.

In the web/desktop client

  1. Click on Broadcast.svg in the sidebar on the left.

  2. On the left, you will see a list of all your broadcast lists. You can search for a broadcast list name. You have the following options:

    1. Create a new broadcast list: Click on the Add.Circle.svg button below the search field on the left. Enter a name. Add contacts from your organization. You can search the list or filter by contact groups. You can also click on the name of the contact group in the user list to add all users in the contact group to the broadcast list. Please note the remark below. Click on "Create" at the bottom.

    2. Edit broadcast list: Click on the list. Click on Navigation.Vertical.svg and select "Edit". Here you can edit the members of the broadcast list and rename the list.

    3. Writing in a broadcast list: Click on the broadcast list on the left and write your message in the message field. You can also attach files. Follow the same procedure as for conversations.

    4. Deleting broadcast lists: Click on the list. Click on Navigation.Vertical.svg in the top right corner and select "Delete". You will be asked to confirm. Click on "Delete".

When you add a contact group to a broadcast list, all users who are assigned to the contact group at the time of creation are added. If the membership of the contact group changes, the broadcast list does not change! If you want to contact all members of the contact group, you can also use the contact group channel. If you want the messages to appear in the individual conversations and not in the channel, make sure that no unwanted persons receive the messages, as the membership of the contact group may have changed in the meantime.

In iOS

  1. Tap the menu_24dp_1F1F1F_FILL0_wght400_GRAD0_opsz24.svg menu at the top left.

  2. Tap " Broadcast.svg Broadcasts" in the left sidebar.

  3. Here you will see a list of all your broadcast lists. You can search for a broadcast list name. You have the following options:

    1. Create a new broadcast list: Click on the + in the top right corner. Add contacts from your organization. You can search the list or filter by contact groups. You can also tap on the name of the contact group in the user list to add all users in the contact group to the broadcast list. Please note the remark below. Tap the circled arrow in the top right corner. Assign a name to the broadcast list. Tap the check mark in the top right corner.

    2. Rename broadcast list: Tap on the list. Tap on the name at the top. Tap the "Rename" field on the left. Enter the name. Tap "Save" at the bottom.

    3. Edit members: Tap the list. Tap the name at the top. Tap the "Members" field. Tap the + in the top right corner to add new members. Swipe a name from the list to the left and tap the red button to remove the member. You can search for names by scrolling up the list a little. A search field will appear.

    4. Write in a broadcast list: Tap the list. A chat history will appear. Write in the message field at the bottom or attach files as you would in a conversation.

    5. Delete broadcast lists: Tap and hold a list. Tap "Delete Broadcast." You will be asked to confirm. Tap "Delete".

    1. Create a new broadcast list: Click on the + in the bottom right corner. Add contacts from your organization. You can search the list or filter by contact groups. Tap "Continue" in the bottom right corner. Give the broadcast list a name. Tap "Continue" in the bottom right corner.

    2. Rename broadcast list: Tap on the list. Tap on the name at the top. name at the top. Tap the "Rename" field on the left. Enter the name. Tap "Rename" at the bottom right.

    3. Edit members: Tap the list. Tap the name at the top. Tap the "Receivers" field. Tap the Person.Add.svg icon to add new members. Tap on a name and select "Remove receiver" from the menu to remove the member. You can search by name by tapping the Search.svg icon at the top. A search field will appear.

    4. Writing in a broadcast list: Tap the list. A chat history will appear. Write at the bottom of the message field or attach files as you would in a conversation.

    5. Deleting broadcast lists: Tap and hold a list. You can select multiple lists by tapping them. Tap the Bin.svg icon in the top right corner to delete the lists. You will be asked to confirm. Tap "Delete".
