Invite users to a channel

Authorized members of a channel can invite other users to join the channel. The setting for whether this applies to all channel members or only channel managers is explained in the article Edit channel (users). This article deals with creating invitations. The article Joining a channel explains how users accept the invitation.

Create invitation

In the web/desktop client

  1. Click on the channel to which you want to invite users.

  2. Click on the Navigation.Vertical.svg icon in the top right corner.

  3. Select "Invite members".

  4. The "Invitation" view opens with a search field, a list of users, and a text field. You can search for a user using the search field. Be careful not to replace letters such as ä or ß with ae or ss. You can filter the user list by contact groups:

    1. Click on the Filter.svg icon in the search field.

    2. Select the contact groups from the list by clicking the box on the right. You can search for contact groups using the search field.

    3. Click “Apply”.

  5. You can click on users to add them to the invitation. You can invite multiple users in a single invitation. You can invite an entire contact group by clicking on the contact group name in the user list.

  6. You can add an invitation message.

  7. Click “send Invitation”.

In iOS

  1. Tap the channel to which you want to invite users.

  2. Tap the channel name at the top.

  3. Tap " Person.Add.svg Invite" to the right of the name.

  4. The "Invite" view opens with a search field and a list of users. You can search for a user using the search field. Be careful not to replace letters such as ä or ß with ae or ss. You can filter the user list by contact groups:

    1. Tap the Filter.svg icon in the upper right corner.

    2. Select the contact groups from the list by checking the box on the left.

    3. Tap "Back" in the upper left corner.

  5. You can tap on users to add them to the invitation. You can invite multiple users in a single invitation. You can invite an entire contact group by clicking on the contact group name in the user list.

  6. Tap the check mark Message.Sent.svg in the upper right corner .

  7. You can now add an invitation text in the "Invitation text (optional)" message field at the bottom.

  8. Tap the paper airplane icon in the lower right corner to send the invitation.

In Android

  1. Tap the channel you want to invite users to.

  2. Tap the channel name at the top.

  3. Tap " Navigation.Horizontal.svg More" to the right of the channel name.

  4. Select "Invite".

  5. The "Invite users" view opens with a search field, a list of users, and a "Invitation text (optional)" text field. You can search for a user using the search field. Be careful not to replace letters such as ä or ß with ae or ss. You can filter the user list by contact groups:

    1. Tap the Filter.svg icon in the top right corner.

    2. Select the contact groups from the list by clicking the box on the right. You can search for contact groups by clicking on the Search.svg icon at the top right. After your search, tap the arrow at the top left to return to the filter settings.

    3. Tap "Apply" in the bottom right corner.

  6. You can click on users to add them to the invitation. You can invite multiple users in a shared invitation. To invite an entire contact group, filter the search view by the contact group and select all users in the list.

  7. You can now add an invitation text in the "Invitation text (optional)" field at the bottom of the message field.

  8. Tap the paper airplane in the lower right corner to send the invitation.

View pending invitations and withdraw invitations

You can view all users who have been invited to the channel but have not yet accepted the invitation. Once users have accepted the invitation, they are listed directly in the member overview.

As a user, you can only withdraw an invitation to a channel if you are a channel manager and therefore have the authority to remove users from the channel If you are not a channel manager and have sent an invitation by mistake, start a conversation with a channel manager. Channel managers are displayed in the member overview with the green word "Manager”.

The settings option for editing pending invitations is only visible if at least one user has been invited to the channel and has not yet accepted the invitation.

In the web/desktop client

  1. Click on the channel whose pending invitations you want to view.

  2. Click on the Info.svg icon in the top right corner.

  3. The "Channel info" bar will appear on the right. Click on the " Person.Pending.svg Pending invitations" field.

  4. The "Pending invitations" bar will be displayed. Here you will find a list of all users whose invitations have not yet been accepted. You can search the list using the search field. Use the Person.Add.svg icon in the upper right corner to invite additional users. Continue from step 4 to invite new users.

  5. If you are a channel manager, you can withdraw the invitation. Navigate the cursor to the member whose invitation you want to withdraw.

  6. The Navigation.Vertical.svg icon appears on the right. Click on the Navigation.Vertical.svg icon.

  7. Select "Remove Member". The invitation for the previously invited member will no longer be displayed.

In iOS

  1. Tap the channel for which you want to view pending invitations.

  2. Tap the channel name at the top.

  3. Tap the " Person.Pending.svg Pending invitations" field.

  4. A list of all users whose invitations have not yet been accepted will appear. If you want to search for a person, scroll down the list a little and a search field will appear at the top.

  5. If you are the channel manager, you can withdraw the invitation. Tap and hold the person's name.

  6. A menu will appear with the option "Remove". Tap "Remove".

  7. A pop-up window will appear asking you to confirm that you want to remove the member. Tap "Remove" in the lower right corner.

On Android

  1. Tap on the channel whose pending invitations you want to view.

  2. Tap on the channel name at the top.

  3. Tap on the " Person.Add.svg Pending invitations" field.

  4. A list of all users whose invitations have not yet been accepted will appear. If you want to search for a person, tap the Search.svg icon in the upper right corner. Use the Person.Add.svg icon at the bottom right to invite more users. Continue from step 5 to invite new users.

  5. If you are a channel manager, you can withdraw the invitation. Tap on the person's name.

  6. A menu will open. Tap on "Revoke invitation".

  7. A pop-up window will open asking you to confirm your decision. Tap "Remove" in the bottom right corner.
