Invite/create new users

You can add new users to your company with the following options:

Invite users with a 10-digit registration key

You can only invite other users to your company if your user role has the permission to “Add users by link”.
This is the basic method for inviting new users. With it you create a registration key which you have to forward to the new users so they can create an account on their own. You will only see the new users in the contacts and user listing in the company settings after they have created their account.

You can create a 10-digit registration key with the following steps:

Creation on Android/iOS:

  1. Select the menu_24dp_1F1F1F_FILL0_wght400_GRAD0_opsz24.png options at the top left to open the menu.

  2. Select Settings.svg settings.

  3. Select "Invite users".

  4. Here you have an overview of your created registration keys, you can check information regarding the keys (e.g. which users have registered with the keys, end of validation for the key) and you can create a new registration key by using the “+” symbol on the right side.

  5. Follow the steps of the key registration, to create it fitting for your use case.

Creation in Web-/Desktopclient

  1. Select the Person.Add-20250513-110730.svg symbol below the conversations or go into the Settings.svg settings, select “Invite users” and click on “New Key” on the right top.

    1. In the settings you are also able to view your other created registration keys and you can see which users have registered with it.

  2. The options to create the registration key will open.

  3. Follow the steps of the key registration, to create it fitting for your use case.


Create users/invite them with a 29-digit registration key

You can only create/invite other users if your user role has the permission to “Add users”.
You can only create users with the web-/desktop client. This option does not exist in the mobile apps.
When creating an account you can set the first- and lastname for the user that can not be changed by them. If you chose to set an email adresse, an invitation mail will be sent to that email. The user can still chose their own email adress during the registration process.
You can also add the users to a contact group before they finish their registration. You can also add an external ID to users created this way.

Create a single user

  1. Click on the Settings.svg at the bottom left corner and select “Organization settings”.

  2. Select “User” in the left menu.

  3. Click on “New user” at the top.

  4. This opens a new window where you can fill in the user info and select the user role for the user.

    1. If you fill in an email adress, an invitation mail will be sent to it.

  5. When you finish creating the user you will see a confirmation that the account has been created, where you also see the 29-digit registration key.

Create multiple users (with .csv file import)

  1. Click on the Settings.svg at the bottom left corner and select “Organization settings”.

  2. Select “User” in the left menu.

  3. Click on “Import users” at the top and then select “User Import”.

    1. Please download the sample file, read the information in it and fill in your user data accordingly.
      info   You need to create a separate .csv file for each user role you want to import users for.

  4. Upload your file and select “next”.

    1. It is possible that a small windows pops up where you have to assign the values in file.

    2. If there is a column that you don’t need you can select “Ignore this column”.

    3. Confirm the assignment to continue with the user import.

  5. You can now check the users that will be imported with the .csv file.

    1. With the slider at the bottom you can limit the communication paths of the newly created contact groups.

  6. If there should be conflict users they will be listed, so you can import them again, create them manually or edit them.

  7. Select the user role for the newly imported users.

  8. Confirm the import.

If you create/import a user and don’t fill in an email adress, you need to contact the users in another way so they can receive their 29-digit registration key.

You can generate/print a registration document with the following steps with the web-/desktop client:

  1. Click on the Settings.svg at the bottom left corner and select “Organization settings”.

  2. Select “User” in the left menu.

  3. Click on the Filter-20250513-110728.svg filter on the right side and filter for the status “not activated”.

  4. Now you can select the users that need their registration document. You can also select all listed users by checking the checkbox next to the column name “User”.

    1. Should there be more than 75 not activated users you have to scroll to the bottom of the list first, so every user is shown and thereby loaded for selection.

  5. When selecting at least two user you will see a menu at the top where you can start printing the document with File.Text.svg “Generate registration document”.

    1. If there is only one user you can select “Generate registration document” in the Navigation.Vertical.svg menu for the user.

  6. If you have selected multiple users each registration document will be printed as one site. (Be careful to only print on the frontpage of the paper 😊 .)

Information regarding auto-selection of multiple users with the checkbox next to “User”:

Only 75 users will be shown when opening the page.
To view more users, you need to scroll down so that more users will be loaded gradually.
(You can hover the mouse above the first user and then click your mousewheel to easily scroll to the bottom by moving the mouse down and load all users.)
After every user has been checked automatically you can still un-check single users. Please make sure that no unwanted users are checked.


Resending the invitation mail

If a user should not receive their invitation email (e.g. because there was a typo in the adress) you can resend it.

Follow these steps with the web-/desktop client:

  1. Click on the Settings.svg at the bottom left corner and select “Organization settings”.

  2. Select “User” in the left menu.

  3. Click on the Filter-20250513-110728.svg filter on the right side and filter for the status “not activated”.

  4. Look for the user and click on them to open their overview where you find the Navigation.Vertical.svg menu at the top.

  5. Select “Resend invitation email”.

  6. Fill in the correct email adress.


If there should be multiple users with wrong email adresses and you used a .csv file to import the users it could be easier to just delete the users with the wrong email adress ( Bin.svg symbol when selecting multiple users) and edit the .csv file so you can only import the users where a new registration mail must be sent.
