Description and Scope of Data Processing

Our knowledge base, accessible at [insert URL here], provides a centralized information platform featuring tips, tricks, and assistance regarding our software products. It is designed to help our customers and users utilize the software efficiently and find answers to frequently asked questions. Our knowledge base is publicly accessible and can be used without prior registration or login.

Processing of Personal Data

Our knowledge base is publicly accessible; registration or login is not required. During use, no personal data for user identification is collected.

When accessing the knowledge base, data transmitted by your browser to our server is automatically processed. This includes:

  • IP address

  • Date and time of access

  • Content accessed (pages, files)

  • Referring URL (referrer)

  • Browser type and version

  • Operating system

Our knowledge base may use technically necessary cookies to ensure full functionality. These cookies do not contain any personal data and are deleted after leaving the site (session cookies). You can control and deactivate the use of cookies in your browser settings.

In addition to the data stored about you on the web server, further personal data is stored in Confluence. Only if you are a logged-in user in our system as an employee of our company, the names of the authors and editors will be displayed on the wiki pages – as is customary in a wiki system. All content changes are documented, stored with a timestamp, and assigned to the respective editor. These changes are generally stored in the version history for the lifetime of the page. Page editors can influence the version history by deleting versions that are no longer required. In Confluence, permissions are granted to logged-in internal users, and depending on their permission level, users assume different roles (reader, commenter, editor, administrator). As a result, different types of personal data are stored or can be viewed.

The aforementioned information is required to ensure the accessibility and technical stability of the knowledge base. The legal basis for this is our legitimate interest within the meaning of Art. 6 (1) (f) GDPR in providing a technically error-free, secure, and permanent knowledge base for our software products. With regard to our own employees who use the system as logged-in users, the legal basis for the data processed in this context is the employment relationship within the meaning of Art. 6 (1) (b) GDPR (contract).

Storage Period

The aforementioned technical log data is generally anonymized or deleted after 14 days at the latest, provided that no statutory retention obligations exist. Content within the knowledge base is stored for as long as it is required to provide product information in the wiki. When a registered user's wiki account is deleted, optional information entered by the user (such as profile picture, phone number, etc.) is removed and the user data is anonymized. In this process, the user's name is replaced by an alias, e.g., user-12345. It is impossible to draw conclusions about the identity of the deleted individual via this alias.

Data Recipients

Your personal data is used exclusively for the operation of the knowledge base and will not be passed on to third parties or used for purposes other than those intended, including in anonymized form. Within stashcat, access to your data is restricted to those departments that require it to fulfill our contractual and legal obligations. Service providers and agents employed by us may also receive data for these specified purposes.

Our knowledge base is hosted via Atlassian Confluence Cloud. When using the platform, data may be transferred to the hosting service provider to a limited extent.

We have entered into a corresponding data protection agreement with this service provider. They process the data in accordance with our instructions and in compliance with applicable data protection laws.

Transfer of Data to Third Countries or International Organizations

As a general rule, your personal data is not transferred to third countries. However, due to the use of our hosting service provider, we cannot completely rule out a transfer of personal data to a country outside the EU or the EEA. If a data transfer is necessary, it will only take place on the basis of the aforementioned purposes and legal grounds. stashcat GmbH ensures that a transfer only occurs if an adequacy decision by the Commission exists, if we have concluded Standard Contractual Clauses (SCC) with the service provider, or if other appropriate safeguards pursuant to Art. 44 et seq. GDPR as well as any necessary supplementary measures are in place.

Automated Decision-Making

Automated decision-making refers to decisions made exclusively by machines without any assessment by a natural person. We do not use automated decision-making pursuant to Art. 22 GDPR. No automated decision-making or profiling takes place in connection with our knowledge base.
